Privacy Policy

Sigil Static Studios respects the privacy of people who visit our websites, contact us, subscribe to updates, apply to casting calls, or use our client galleries. This policy explains what personal information we collect, why we collect it, and how to contact us about it.

This policy applies to websites and online services operated under the Sigil Static Studios brand, including our photography website and client galleries.

Information we collect

The information we collect depends on how you interact with us:

  • Inquiries and bookings: Your name, contact details, project description, and any other information you provide when you contact us or request a quote.

  • Casting applications: Your name, contact details, location, project interests, experience, comfort levels, optional clothing sizes or measurements, portfolio links, and anything else you choose to share. Some of this information may be personal or sensitive. Please share only what you are comfortable providing at the application stage.

  • Mailing list subscriptions: Your email address and any other information you provide when you subscribe.

  • Client galleries and projects: Images, gallery access information, selections, feedback, and information needed to deliver photography or other creative services.

  • Website use: Technical information such as your IP address, browser information, pages visited, and cookie preferences may be collected through our website, analytics, security tools, and hosting services.

How we use your information

We use personal information to respond to inquiries; plan, provide, and administer creative services; review casting applications; contact applicants about relevant projects; operate client galleries; send updates to people who have subscribed; maintain website security; prevent spam; and understand how our websites are used.

Submitting a contact form or casting application does not subscribe you to a mailing list. We manage subscriptions separately through MailPoet. You can unsubscribe from marketing emails using the link in those emails.

Casting applications

Casting applicants must be at least 18 years old. We use application information to assess suitability for current projects and may retain it to contact applicants about future shoots that could be of interest.

Your answers about comfort levels help us decide which opportunities to discuss with you. An application, including any comfort-level selection, does not constitute consent to participate in a shoot, to a particular level of dress or exposure, or to the use of any photographs. Details of a selected project are discussed separately. Selected models will be asked to review and sign a model release before participating.

You may contact us through our contact form if you no longer want us to consider or contact you for future casting opportunities.

Client galleries and photographs

We use PicPeak to provide client galleries through a secure server operated by Sigil Static Studios. Gallery information and photographs are used to deliver and administer the relevant project, including viewing, proofing, and selections.

Access to a gallery does not make its contents public. The handling and permitted use of photographs may also be governed by the applicable client agreement or model release.

Cookies, analytics, and spam prevention

Our websites use cookies and similar technologies for site functionality, preferences, analytics, and security. We use a cookie consent tool to present available choices. You can also manage cookies through your browser settings, although disabling some cookies may affect site functionality.

We use analytics to understand website traffic and improve our sites. We use Akismet to help identify spam submitted through forms. These tools may process technical information associated with a visit or submission. Where a third-party provider processes information for us, its systems may be located outside British Columbia or Canada.

Who can access your information

Access to inquiries, casting applications, and client information is restricted to Sigil Static Studios and its employees who need the information for their work. We also use service providers to operate our websites, email, mailing lists, analytics, spam protection, and galleries. They may process information as needed to provide those services.

We may disclose information where required by law or where you authorize a specific disclosure.

How long we keep information

We keep personal information for as long as it is needed for the purposes described in this policy, including providing services, maintaining necessary business records, and considering applicants for future casting opportunities. Casting applications may therefore be kept beyond the closing date of a particular call.

If you ask us to remove an application or other information, we will review and respond to your request, subject to information we need or are required to retain. Information used to make a decision directly affecting an individual may need to be kept for at least one year after that decision under British Columbia law.

Safeguards

We take reasonable steps to protect personal information against unauthorized access, use, disclosure, loss, and other risks. These include restricting access to people who need the information and using secured systems for email and client galleries. No method of electronic storage or transmission is completely risk-free.

Access, correction, and privacy questions

You can ask to access or correct personal information we hold about you. You can also ask questions about this policy, raise a privacy concern, request removal of an application, or withdraw from future casting consideration.

Please use the Sigil Static Studios contact form and identify your message as a privacy request. We may need to verify your identity before disclosing or changing personal information. We will respond in accordance with applicable privacy law.

Changes to this policy

We may update this policy as our websites, services, or information practices change. The current version and its update date will be posted here.
